SENIOR OFFICE ASSISTANT
Class II, Step 1 - $10.85/hour
Working shift: Monday 11am-5pm, Tuesday 9am-4pm, Wednesday 11am-5pm, Thursday 8am-11am

JOB DESCRIPTION

  • Welcome and direct visitors/customers by greeting them in person or on the phone; answering and referring inquiries. Provide excellent customer service in-person, email and phone.
  • Perform general clerical duties, which include, but are not limited to typing, filing, word processing, excel, and distributing mail and delivering correspondence throughout the campus as needed.
  • Receive and verify shipments for all departments in the Student Center.
  • Assist Associate Director for Business and Finance (ASDBF) in reviewing and ensuring proper establishment and maintenance of fiscal records, files and other information.
  • Assist ASDBF in the review and proof documents, records and forms for accuracy, completeness and conformance to applicable rules and regulations. Also assist in reviewing administrative reports and studies.
  • Assist ASDBF in maintaining records and generate reports; use application in word, excel databases and other software required by position.
  • Execute Job Opportunity process e.g.to revise job descriptions as directed, post, compile documents and forward to appropriate manager.
  • Communicate with Meeting Services Department and follow procedure for checking out keys, and completing walk-in forms.
  • Maintain inventory of office supplies; prepare purchase requisitions according to approved procedures.
  • Maintain employee and department directories, and giving instructions.
  • Maintain a safe and clean reception area.
  • Maintain administrative files and keep information confidential.
  • Other duties as assigned.  

JOB QUALIFICATIONS

  • One year of previous office experience required e.g. spreadsheets, writing memos, and filing.
  • Must be proficient in Microsoft Word and Excel; A rudimentary test in Excel will be given during the interviewing process.
  • Ability to analyze financial data.
  • Ability to type 50 wpm preferred.
  • Excellent oral and written communication skills.
  • Ability to prioritize and handle projects/assignments, work independently, meet deadlines while providing excellent professional front desk service.
  • Ability to establish & maintain cooperative working relationships with students, faculty, staff, Student Center Governing Board Members, vendors and contractors.
  • Must be enrolled at SFSU with a minimum of 6 units.
  • Must be available to work during the summer.
